Administrative and Export Clerk

Queensland Agricultural Seeds is a family owned and run business based in Toowoomba, Queensland.  We are looking for a Casual Administrative and Export Clerk to join our team.  Hours of work will be between 10am 4pm, Monday to Friday but may vary depending on seasonal demand.

The position involves many facets.  The main responsibility of the role is ensure a positive customer experience with every customer interaction, which will involve responding to routine questions and providing general business information via phone, email or in person.  

This position also performs general clerical and administrative duties including multiple phone line management, mail, data entry, accounts receivable, stock control, basic document creation and sales support.

As a large exporter of grass seed, the Administrative and Export Clerk role will also be responsible for export documentation control and processes associated with each export shipment.

Skills and Requirments

  • Must have 2 years working experience in data entry, workflow systems, accounts receivable and payable and stock control
  • Flexibility and adaptability with the ability to multi-task and prioritise
  • Excellent communication skills in both verbal & written English
  • Experience talking to customers and clients
  • Be self-driven and also able to follow instruction and ability to work as part of a team
  • Fast and accurate data entry skill
  • Proficient in Microsoft (Excel, Word and Outlook), Reckon
  • Positive attitude is a must
  • Prior experience in export documentation is preferred in the agricultural industry - experience with Edisoft
  • General document admin (scanning, photocopying, filing, archiving)

Export Documentation Requirements 

  • Raise Request for Permit (RFP) in Edisoft
  • Organise fumigation and inspection of product to comply with import requirements
  • Stock allocation/ collation / collection / disbursement
  • Stock labelling
  • Liaise with Dept of Agriculture to obtain phytosanitary certificate
  • Create invoice and packing list for shipment
  • Apply for certificate of origin
  • Organise transit insurance certificates
  • Enter and update export data into system
  • Follow up with freight forwarder on flight details and air waybill
  • Collate shipping documents and cross-check details
  • Send documents to customers and respond to their queries
