About the Role:
 
Reporting to the Project Manager your role will be to ensure all services are scheduled in accordance with the relevant policies and procedures.  You will be responsible for supporting the current scheduling team to ensure the roster runs efficiently and ensure effective use of Support Workers working time.
 
You will need to adopt a confidential and non-judgemental approach and be a logical and rational thinker.  The ability to analyse situations and make judgement quickly based on the information in front of you is essential.    The staff are team orientated and support each other in their roles so the successful person will be required to show a similar attitude in their approach.  Previous experience of working in a scheduling role is required.
 
The role is in Armadale, full time (37.5 hours per week) and a rotational roster is worked as follows:
 
6.30am – 2.00pm and 11.30am to 7.00pm, Monday to Friday
(This includes 2 days of the early shift, and three days of the afternoon shift).

Responsibilities:

Scheduling New Services

  • Ensure the correct staff or volunteers are rostered to attend the correct client at the correct day/time for the correct service to ensure effective time of Support Worker time
  • Ensure that the Planner within Procura is managed in accordance with procedures on an ongoing basis throughout day and all tasks within Procura are completed within the specified timescales.
  • Ensure Procura is not overridden when alerts are identified without referral to Compliance Administrator
  • Ensure all required liaison is undertaken when a service is either new or changed in accordance with required timescales.
  • Ensure all communication with all people is undertaken in a timely way, this includes Clients, Support Workers, Contractors and Volunteers and is always professional .

Transport

  • Transport jobs received must be scheduled as soon as practicable, but clients requesting transport, must be informed of their transport arrangements no later than 48hrs prior to the actual trip.
  • Ensure allocation of task is communicated with the driver and client, respectively.
  • Ensure all appropriate information is included in the ‘visit’ section of Procura

To ensure that Work Health & Safety principles are applied when undertaking all duties

  • Ensure a safe working environment is provided to comply with work, health, and safety requirements.
  • Ensure familiarity with emergency procedures to ensure the safety of everyone.
  • Report all accidents, incidents, and hazards to Compliance Administrator in accordance with relevant procedures

To ensure Organisational Compliance is maintained

  • Ensure all policies and procedures are adhered to for the role maintaining all quality standards
  • Report any feedback to ensure opportunities for improvement are identified.

 
Job Requirements: 
  
To be considered for this opportunity you will have the following:
 
Essential

  • Previous experience of working in a scheduling role
  • Ability to coordinate the planning, implementation, and scheduling of services.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to work flexibly, part of a team and independently
  • High level of administration skills, including keyboard and data entry.
  • Effective planning, time management and problem-solving skills
  • Excellent Computer literacy including Microsoft Office suite (Word, Excel, and Outlook).

Clearances:
