CARE is a leading international humanitarian aid organization fighting global poverty, with a special focus on working with women and girls to bring lasting change to their communities. 

 About the Role

 The role of Executive Coordinator spans three key business functions:

  • administrative support for the CEO and wider executive team; 
  • coordination and administrative support for Board and Board Committees; and
  • providing administrative support to the public affairs unit in external engagement and representation and some internal communications.  

It is a key point of intersection between all departments of CARE Australia and the Country Offices we manage on behalf of CARE International.

 Key Responsibilities 

  • Undertake high level executive and administrative support to ensure effective management of the Office of the CEO including:
    • diary management and scheduling of meetings 
    • organising domestic and international travel arrangements and preparation of associated itineraries
    • screening incoming telephone calls as well as redirecting to appropriate staff for action when required
    • managing and tracking incoming and outgoing communication and correspondence.
  • Coordinate Board and Board Committee meetings and papers and provide liaison support between Board members and the CEO and Executive. 
  • Collate and edit briefing documents, correspondence, agendas and other meeting papers.
  • Act as point of contact for the Chief Executive’s office with staff at the CARE International Secretariat, other CARE Member Organisations and CARE Australia Country Offices   
  • Provide general administrative support and assistance to the wider Executive Team, within reason and as agreed by the CEO.
  • Support the Senior Manager, Public Affairs in administrative functions, engagements and inter-departmental coordination on areas that require CEO involvement.

Ideally you will have: 

  • Experience providing assistance to executive management, and secretariat support for Board and other governance bodies.
  • Demonstrated high-level initiative and personal drive, and the ability to work under pressure.
  • Ability to work collaboratively, and capacity to communicate effectively with internal and external stakeholders. 
  • Demonstrated written communication skills.
  • Ability to maintain confidentiality and to demonstrate discretion and good judgment.
  • Experience in supporting activities and initiatives related to public affairs.
  • Demonstrated positive values of integrity, accountability, reliability and team work.
  • A commitment to the empowerment of women and girls, protection of children, and the prevention of sexual harassment, exploitation and abuse.  
  • Technically ability with ICT and social media platforms.
