The Society of Saint Hilarion Inc Aged Care is a not for profit organisation with over 30 years experience providing Residential Aged Care services across two sites and other Home Care and Community programs.

Workplace Location

The House of Saint Hilarion (at Seaton) offers robust high level care and services with 122 beds. Our facility is designed to cater and specialise for the wider Italian and European Community.

The House of Saint Hilarion is set in the near seaside suburb of Seaton less than 11kms from Adeaide's CBD and is located within close proximity to West Lakes (Westfield Shopping Centre.

About the role

  • The Office Coordinator is responsible for the leadership and management of all administrative processes and staffing coordination of the facility.

This role will:

  • Ensure the rostering and staffing needs of the facility are met;
  • Ensure regulatory compliance of the facility in administrative areas of responsibility;
  • Provide IT assistance to staff;
  • Manage the organisation's Board meetings;
  • Ensure the facility is appropriately resourced
  • Lead a small administration team to deliver exceptional customer service to clients and stakeholders;
  • Maintain staff personnel files & training records;
  • Various administrative tasks.

Qualifications, Skills and Experience

  • Certificate or Diploma in Business or Administration (and/or Administrative experience within a fast-paced environment);
  • Excellent written and verbal communication;
  • Advanced proficiency in Microsoft office suite and competent with use of internal systems;
  • Well developed interpersonal skills and multi-tasking capabilities;
  • Have sound demonstrable knowledge of the Aged Care Quality Standards;
  • Have sound understanding of Aged Care Awards and Enterprise Agreements in regards to Rostering, Rates of Pay and related matters, Hours of Work, Shift work and Overtime triggers, Leave provision etc;
  • Knowledge and experience of IT hardware and software troubleshooting issues and support;
  • Reliability, and a well organised approach;
  • Forward-thinking ability with exceptional attention to detail;
  • Able to lead a team and supervision experience;
  • Able to problem solve to a high level with limited assistance by analyzing information; identifying and communicate solutions and able to assess and report risk;
  • An Australian drivers license Class C (as this role may require travel to our partner site).

Mandatory requirements for all candidates

  • Valid National Police Check (within Last 12 months);
  • Proof of the right to work lawfully in Australia;
  • Evidence that you have had the 2020 Flu Vaccination or willingness to complete this before employment can be offered* (Staff with evidence they are unable to receive the vaccination are exempt)

* The Australian Government has advised that all residential aged care staff and visiting workers should be vaccinated by 1 May 2020. This includes both current and future employees.
