St Brendan-Shaw College is a Catholic, co-educational school located in Devonport, North West Tasmania, catering for students from Years 7 to 12.  The College is seeking applications for  the  full  time role of Executive Assistant to the Principal.

Applicants must be able to demonstrate substantial skills and experience as an Executive Assistant or similar, preferably within a secondary school environment.  The role is accountable for the efficient and effective operation of the Principal's office, and delivery of customer service excellence.  The Executive Assistant works with broad direction, providing strategic and specialist advice in the area of responsibility to improve effectiveness and performance, and using discretion, judgement and initiative in the performance of role.

Key tasks of the role are as follows:-

  • Respect and protect staff, student and family privacy and confidentiality
  • Resolve complex issues and complaints with due care, diligence and sensitivity
  • Coordinate student health and wellbeing support as required in accordance with school policies and procedures
  • Respond to information requests from TCEO and external agencies
  • Prepare, produce and retain school records and publications in accordance with organisational policies
  • Build relationships across the school community to ensure effective communications and delivery of services
  • Provide a professional first point of contact for college enquiries
  • Maintain the Principals electronic diary
  • Organise catering and other requirements to support meetings and functions as required by the Principal
  • Screening and responding to phone, email and other communication enquiries on behalf of the Principal
  • Coordinating travel, accommodation, meetings and conference arrangements for the Principal as required
  • Preparing, distributing and filing agendas, minutes and Board papers
  • Preparing draft correspondence on behalf of the Principal as required
  • Undertaking the Enrolments Registrar duties including coordinating enrolment interviews
  • Attending committee meetings and other events as required by the Principal

The Executive Assistant supports the Catholic Identity and Evangelising Mission and works collaboratively with other staff and members of the school community to assist students to achieve enhanced learning outcomes.
