The Role

The Senior Administration Officer role sits within the Policy and Advocacy unit, which provides the College with advice on policy development so that it can be engaged in the health policy debate which affects the Fellowship and trainees. The purpose of this role is toprovide high level administrative and operational support to the Policy & Advocacy unit including project support, membership engagement and systems administration.

Tasks will include but are not limited to:

  • Executive level administrative support, including preparation of correspondence and supporting the preparation of reports and briefs
  • Management of inboxes including forwarding correspondence, logging relevant databases, actioning as appropriate
  • Liaise with Specialty Societies, Divisions, Faculties and Chapters and external stakeholders
  • Act as point of contact and field enquiries from policy and advocacy committee members
  • Assist in maintaining electronic and hard copy records of committee related papers and minutes
  • Manage the calendar of committee meetings and organise and administrate teleconferences, virtual and face to face meetings
  • Organise the policy and advocacy committee travel
  • Oversee and manage policy and advocacy committee related costs and expenses
  • Assist with the external appointment processes, including liaising with external bodies, developing internal communications, collating and developing briefs, drafting appointment documentation and management of ongoing appointments
  • Assisting in the preparation of proposals to revise processes, methods and procedures
  • Assist with the implementation of changes or initiatives
  • Assist with the coordination of projects including College policy marketing and advocacy campaigns

The successful candidate will have:

  • Experience in secretarial and administration support to a team
  • Experience in correspondence and report development
  • Excellent attention to detail
  • Strong initiative, problem solving skills and the ability to identify potential issues and solutions
  • Excellent verbal communication, influencing and liaison skills and an ability to deal across all levels of an organisation
  • Excellent written communication and organisational skills, ability to assist and support the production of reports
  • Strong project support and research skills particularly in the support of briefs and business case preparation
  • High level computer competence especially in MS Word and Excel
  • Proven ability to prioritise, multitask and work under pressure within the context of tight and, at times, competing deadlines
  • Strong interpersonal and people skills
