Reporting to the Chief Executive Officer, we are looking for someone to join our existing team that is a self -starter with good initiative to achieve end results.
You will be responsible for:
Provide effective communication, and direct/fulfil requests for advice or correspondence from/to the CEO and senior management in a professional and timely manner.
Communicate directly with subordinate executives of the CEO to follow up on action items, coordinate future arrangements and advise them of the priorities of the CEO.
Screen telephone calls and handle general inquiries directed to the CEO and senior management regarding the various functions of Territory Generation.
Welcome visitors identify the priority and urgency of unscheduled visitors and decide whether to interrupt the CEO and senior management or arrange future appointments as appropriate.
Maintain accurate and updated corporate information using the electronic diary, mail and computer databases, and initiate follow-up action to ensure that deadlines are met.
Co-ordinate and organise appointments, meetings and conferences which may include itineraries and travel arrangements.
Provide secretarial services to the CEO and senior management, including scribing and taking minutes of meetings, word-processing and filing.
Draft routine correspondence undertake research for specific information, research and compile special reports of a confidential nature and network with internal/external clients.
Coordinate the Crisis Management and Recovery, (CMR), Manual and regularly review its contents to ensure secure, current, and controlled hard copies are available for the CMR Team.
Provide advice and a leadership role to administration assistants regarding corporate processes and procedures, including managing the workload and outputs of additional secretarial staff/resources required by the CEO and senior management.
Carry out duties in accordance with Territory Generations safety, environmental and quality policies, safety principles, corporate values and strategies.
Your skills & experience:
Proven diplomacy, sensitivity, discretion and confidentiality of a high order.
Pleasant, tactful and approachable manner when dealing with external visitors, senior staff key government officials and other stakeholders and the ability to interact effectively with people from culturally diverse backgrounds.
Demonstrated initiative and judgement, highly self-motivated and reliable, and willing to work flexible hours.
Effective time management and organisational skills, ability to think laterally, ability to take decisive action, and the ability to work calmly under pressure and achieve work deadlines in an environment of competing demands and priorities.
Proven computer literacy skills, and extensive experience with word processing packages and various computer applications.
Broad and deep knowledge and understanding of office protocols in a corporate business work environment and demonstrated administrative and secretarial experience at an executive level.
Ability to carry out duties in accordance with Territory Generations safety, environmental and quality policies and corporate values and strategies.
