Western Australian General Practice Education and Training (WAGPET) is the sole provider of the federally funded Australian General Practice Training program (AGPT) in WA. The program takes doctors seeking to specialise as general practitioners through to fellowship the highest recognition for a GP. WAGPET are seeking a motivated & enthusiastic individual who takes pride in their work to join our dynamic and friendly team as the Administration Officer. You will be available to work full time (8:30am 5:00pm, Monday - Friday) for an initial 12 months. Develop your skills and keep yourself challenged in a role where you will manage front of house looking after our visitors and callers with respect and hospitality. Administration support to the CFO and across the business will also be required to ensure the effective & smooth running of the day to day operations. The successful candidate will develop key relationships across the business and become the trusted go to personal for all administration matters.
Key specifics will include;
Management of all incoming phone calls
Meet and greet visitors and staff of WAGPET
Manage visitor sign-in / sign-out systems
Management of email enquiries
Manage incoming/outgoing mail and faxes
Coordinate courier bookings
Manage room bookings and car bay usage
Ensure the reception and office areas are professionally presented
Coordination and hosting meetings and events
Manage and maintain office consumables
Manage and arrange office maintenance and repairs
Maintain internal staff registers
File management - archive management, file creation and register updates
Booking travel, conference registrations and accommodation
Processing of purchase orders and invoices for administration budgets relevant to this position
Maintain administrative expenditure tracking records
Maintain registers and associated records including CRM updates
Provide administrative support to the Chief Financial Officer
Provision of administrative support for the Executive Officer
Provision of administrative support to the Corporate Services team and other teams as directed
Assist with work Health & Safety matters within various departments
The role requires a team player who can work in a motivated small/mid-size team environment. Strong attention to detail is required along with a pleasant and professional style. You will have strong organisation disciplines and previous office administration or reception experience to ensure the WAGPET office runs smoothly.
