POSITION OF SERVICE ADMINISTRATOR

A unique and rewarding position has become available within Australian Refrigeration Services Pty Ltd, part of the Tri Tech Refrigeration group of companies with its headquarters in Victoria.

The positon offers a rewarding role in our rapidly expanding Industrial Service Division based in Kings Park, Sydney NSW.

The person ideally should have a working knowledge of refrigeration systems and componentry, not essential but an advantage. Experience in a customer focused and service based industry is definitely a plus.

Job description, duties and responsibilities:

  • Service Administrator, to answer, receives incoming calls, take messages when the service manager is not available. All service orientated calls go to the service manager, compile a call log and liaise with the service manager received inquiries in his absence.
  • Work in closely with the service manager assisting him issuing tasks to service personnel. The service manager will control the overall responsibilities for the scheduling tasks to service personnel. The service manager will maintain control and have overall responsibility for the scheduling of tasks and response to break down service orientated works.
  • Order parts for the scheduled tasks. I.e. Annual services overhauls, quoted works etc. and the day to day spare parts ordering requirements.
  • Oversee the delivery and dispatching of said parts.
  • Assist the service teams and admin staff with management of iPads, ARS app and Job management system.
  • Assist with the processing of service quotations to cliental and management of such quotes.
  • Assist with processing service reports in preparation for invoicing.
  • Assist with compiling maintenance records and future work requirements leading from maintenance services.
  • Assist with the monthly maintenance services distribution and ensure they are completed when and as required.
  • Fabricate the afterhours call mechanic roster on an annual basis.
  • Maintain the service tool and stock control i.e. Laser alignment equipment and shims, vac-pump monitoring ladders and other service tools. Stock control of spare parts stock at ARS i.e. seals, valves, solenoids, refrigerants etc.

Necessary skills required:

  • A knowledge of Microsoft Word
  • A knowledge of Microsoft Excel
  • A knowledge of Microsoft Outlook
  • Previous experience with customer service
  • Good phone and communication skills
  • Good organisation skills

The position is within our Service department in Kings Park, Sydney and you will report organisationally to the Service manager Steve Leghorn.

You will also take instructions from our Finance Director in regards to administrative and financials matters.
