Description:
We are currently seeking an Executive Support Officer to join our team. Previous experience is desirable but not essential as we are willing to provide training to the right applicant.

Key Selection Criteria:

  • Demonstrated understanding and commitment to Victorian Aboriginal health, local Aboriginal culture, and the philosophy and practice of Aboriginal Community Control health service.
  • Experience in taking minutes at an executive and board level with a high level of attention to detail and accuracy
  • Experience in organising events such as workshops and meetings, including the preparation and distribution of papers
  • Demonstrated ability to work with Aboriginal organisations, communities and individuals in culturally appropriate ways
  • Demonstrated understanding of the diverse health and social needs of Aboriginal people
  • Well-developed interpersonal skills, including a friendly and professional approach and an ability to deal with a broad range of people at all levels.
  • Demonstrated proficiency and experience using Microsoft applications (e.g. Microsoft Word, Excel, Outlook) combined with a high level of accuracy and attention to detail Sound written verbal and communication skills
  • Demonstrated organisational and time management skills, including an ability to prioritise, manage multiple tasks, work to deadlines, minute taking, manage interruptions and adapt to changing priorities
  • Demonstrated capacity to manage sensitive information, maintain confidentiality and remain impartial at all times.
  • Self-motivated and demonstrated ability of working autonomously with minimal supervision, and as an effective team member, promoting cooperation and commitment to achieve goals.
  • Ability to read, understand and review policies and procedures as they relate to corporate governance
  • Be familiar with and understand the nature of a Board of Directors meeting and the associated Board papers

Duties will include (please see position description for full details):

  • Provide efficient, effective and confidential administration support services for CHADAC
  • Provides comprehensive support services to the CEO that ensures a professional, responsive and effective experience with the organization as a whole.
  • Screening telephone calls, emails, mail and faxes for the CEO
  • Coordinate all correspondence in and out of the CEOs office
  • Provide board secretariat support to CHADAC Board
  • Ensure board members have completed orientation and completed all required paperwork to sit as a board member of CHADAC in line with ORIC requirements
  • Implement systems and templates for Board secretariat documents
  • Contribute and work collaboratively as a team member by assisting and supporting the organisation to meet objectives.
  • Actively participate in a working environment which supports employment equity, anti-discrimination, occupational health and safety and ethical behaviour
  • Participate in quality improvement activities
  • Attend and participate in professional development as required
