Practice Manager

We are a boutique psychology practice seeking an experienced full-time Practice Manager to join our growing team. We are looking for a bright, skilled, energetic and positive person who can manage our front desk operations, provide a high-quality administrative service to our clients and clinicians, and ensure the efficient and smooth running of the day-to-day operations in the practice. The role reports directly to the practice owner and will need to work closely with the entire team. 

You will be an integral part of a team that is passionate about making a difference to the lives of others and contribute to the overall standard of care delivered by our practice. You will join a team of highly skilled practitioners, and your enthusiasm and dedication will be highly valued within a supportive environment. 

Essential skills and attributes:

  • A minimum of three years prior experience as a practice manager in the allied healthcare industry
  • Qualifications in practice management, business administration or the equivalent 
  • Experience working in the mental health sector, and the ability to maintain a high level of client care, professionalism and confidentiality
  • Competency in a broad range of medical practice operational activities including practice administration, payroll, HR, IT, equipment management, managing business KPIs and financial performance, marketing, project support, and continuous quality improvement 
  • Experience with public and private billing systems including Medicare, DVA, HICAPS, NDIS, WorkCover, and private insurers
  • Experience with NDIS Certification and processes, and the NDIS Practice Standards and audit requirements 
  • Experience with managing multiple practitioner schedules with practice management software (we use Power Diary)
  • Outstanding written and verbal communication skills, and possess a friendly telephone manner with the ability to deal with sometimes complex enquiries
  • High level of computer literacy with the ability to learn new systems quickly
  • Ability to identify, review and troubleshoot operational issues and put new processes and procedures in place 
  • Excellent administration and time management skills; with the ability to work autonomously and in a team-based environment
  • Well-presented with a friendly, courteous, and compassionate nature.
