HDB Town Planning and Design is a long-established consultancy specialising in town planning, urban design and engineering. With a strong focus in the Hunter Region we work across multiple sectors (residential, industrial, extractive industry, educational establishments, seniors living) to help deliver high quality outcomes for our clients.
We are looking for a motivated Administration Officer who can support our team to deliver on our vision of providing a comprehensive development and planning service with professionalism and integrity.
The ideal candidate will have a positive can-do attitude, enjoy variety in their work and is looking for a long-term role. They should be well organised, enjoy working in a team environment and be committed to delivering for our clients.
The Administration Officer plays a critical role in supporting our team to deliver projects.
The role will require the successful candidate to:
Provide administrative services to support the business in an effective and efficient way
Ensure the on-time delivery of all management, administrative and reporting duties
Engage in a professional manner with our clients to answer queries or concerns
Liaise with internal staff and external consultants to support the delivery of projects
Manage the new business/tender preparation process
Facilitate/schedule conference calls, video conferences and meetings
Prepare and manage invoices, statements, accounts payable and accounts receivable
Ensure the front of house area is immaculately presented and all guests are greeted in a friendly, courteous and professional manner
Provide Executive assistance to Director on daily basis, including managing of their calendar and organise meetings
To be successful in the role you will require:
Proactive, co-operative, friendly and professional attitude
Technically confident and competent in the use of Office 365, Adobe, social media applications
Proven experience in administrative and general office procedures
Willingness to learn
Exhibit a polite, clear, articulate and professional phone manner
Punctual and reliable
Ability to work under pressure at times
Superior communication skills (both written and verbal)
Ability to work autonomously, take direction, and work as part of a team
Strong organisational skills with the ability to multi-task
Exceptional attention to detail
Professionalism and confidentiality
