Sampling Co-ordinator

Woven Image are looking to strengthen their marketing team through the appointment of a bright and driven Sampling Coordinator. Our customers (Architects, Designers and Builders) rely on the timely delivery of quality product samples, making it a crucial role in further improving our customer experience and driving sales.

Key duties and responsibilities:

Co-ordinate the process of product sample delivery from start to finish, including:

  • Logging and dispatching product samples to customers, ensuring they are received within 24 hours.
  • Working closely with the Customer Experience team to ensure leads generated from sample requests are followed up in a timely manner.
  • Identifying the optimal sampling formats to best represent each product, in collaboration with the Marketing Team.
  • Supporting the Marketing Team with sampling requirements for global product launches.
  • Liaising with multiple departments to co-ordinate all aspects of product sampling set-up, including system entry, supplier selection, pricing, material requirements and artwork.
  • Briefing sampling suppliers to ensure product samples are produced on time and on budget, whilst maintaining high quality standards.
  • Ensuring stocks of all samples are maintained by working with our Purchasing Teams in Australia and China to replenish stock levels.

The successful candidate will be keen to improve existing processes and set-up new ones within the product sampling function.

Skills and experience:

  • A process-driven mindset and highly organised.
  • First-rate administration skills.
  • Strong attention to detail be able to identify mistakes in artwork or orders.
  • Tech savvy with minimum intermediate MS office skills (Word, Excel & Outlook).
  • Fluent in spoken and written English.


  • Basic experience of Adobe design software (e.g. Photoshop, InDesign) would be an advantage, but not essential.
  • Previous experience in an administration, sales support or marketing support role.
