Assistant Service Coordinator - Full Time

Finn Air specialises in all aspects of Commercial Air Conditioning. We are looking for a permanent full time Assistant Service Coordinator to become part of our office team.  The role will be 8am 4.30 pm Monday-Friday in our workshop located at Brendale. 

The successful applicant will need to actively contribute as a team member to meet all office deadlines and exceed our customers expectations.  The role will suit a motivated person with high attention to detail who enjoys client interaction. People who love a challenge and can use their strong problem-solving skills to create a high standard of work should apply.

As the assistant service coordinator you will be one of the first points of contact to assist our customers and as such will require a positive and efficient manner whilst providing exceptional customer service, you will be required to assist with the outlined tasks:-

  • External telephone and email enquiries 
  • Entering jobs and scheduling technicians 
  • Data entry including purchasing, quoting and invoicing 
  • Client liaison
  • Checking job reports and loading to portal for pricing
  • Invoicing completed jobs
  • Booking jobs with clients
  • Entering and approving timesheets and updating correlations
  • Following up subcontractors for scheduled services
  • Entering supplier invoices
  • Creating  and sending  SWMS to clients
  • Manage inductions 
  • Manage scheduled Water Treatments 
  • Manage scheduled Controls and BMS 
  • Sending Monthly Facilities Reports to clients
  • Managing Annuals Booking jobs, scheduling technicians, checking reports, certifying AESC/creating annual maintenance declarations

The successful applicant must have,

  • A minimum of at least 2 years experience in a similar role
  • Local knowledge of Brisbane and surrounding suburbs
  • Planning and Scheduling experience
  • Outstanding Customer Service skills
  • Service department experience
  • Polite and professional phone manner
  • Strong attention to detail, exceptional computer skills, data entry skills
  • High Level of time management skills with the ability to prioritise and multi-task
  • Ability to work both independently and as part of a team
  • Work unsupervised and under pressure, at times

 

We offer an hourly salary based on the applicants skills and experience.
