Personal Assistant/Legal Secretary

Kimberley and Pilbara Lawyers is a reputable law firm in sunny Broome, WA.  We are a small, close-knit team predominately working with clients in the Kimberley and the Pilbara, although we have clients throughout Western Australia and the other states, in most areas of law.

The firm was founded by our Principal Lawyer, Julia Barber, in 2004.  Julia, who holds BA and LLB (Hons) degrees, is a highly regarded Solicitor who works tirelessly for good outcomes for her clients.  Previously a Legal Secretary herself, she was born and educated in the UK and achieved her qualifications through Monash University in Victoria.  She commenced her working life in a large legal firm in 1978 and has, effectively, over 40 years legal experience.

KPL is on the hunt for a Personal Assistant to Julia Barber (Legal Secretary). Unfortunately, Julias current PA and her family have decided to return to Perth.  We are looking for a superstar Assistant, an office all-rounder, someone who nails the administration side of things and takes the pressure off Julia.  These are big shoes to fill!

Ideally, you are:

  • A self-starter and a problem solver someone that works autonomously, takes ownership of their role and uses their strong intuition;
  • Intelligent and sensible someone that uses their common sense, isnt afraid to ask questions and is a fast learner;
  • A juggler someone that knows how to prioritise conflicting deadlines whilst still maintaining exceptional attention to detail;
  • A jack of all trades no job is too big or too small for you. If you dont have the answer, youll research and make enquiries until you do.
  • A team player someone that isnt afraid get their hands dirty. You would take the tedious admin work away from Julia so that she can focus on her clients needs;
  • Enthusiastic you are happy to be here and enjoy your work.  You will do whatever is required to make your Boss work more efficiently; and
  • Always on the go working studiously from the second you walk through the office door. This is not a role for someone that wants to breeze through the working day.  We are a fast paced and busy law firm, but we also love to joke and have a bit of a laugh.

About the role (including but not limited to):

  • Provide outstanding support to the Principal Solicitor;
  • Extensive diary and email inbox management;
  • Preparation, editing and updating correspondence and legal documents;
  • Tracking matters from start to finish, including meeting strict deadlines and filing legal documents with the various courts;
  • Electronic and paper file organisation and maintenance;
  • Corresponding with Counsel (our Perth based Barristers), clients and other Solicitors;
  • Prepare Briefs to Counsel;
  • Create and edit precedents;
  • Prepare and lodge documents with Landgate;
  • Assist Counsel and the Principal Solicitor in Broome based Family Court circuits;
  • Various legal research on behalf of the Principal Solicitor; and
  • General office administrative duties greeting clients, screening/fielding incoming calls, thorough message recording, filing and other ad hoc administration work.

Your skills:

  • Impeccable written and verbal communication and interpersonal skills;
  • Proficient with MS Office programs;
  • High level of organisation and intuition;
  • Good accurate typing skills and attention to detail;
  • Tech savvy and can troubleshoot basic IT issues;
  • The ability to work as a team player in a busy and fast paced office;
  • Great customer service and client liaison skills;
  • Experience in Office Administration and Reception; and
  • Experience working with our Legal Software, Leap, is advantageous but not necessary as you will be provided with training.
