RECEPTIONIST AND CLERICAL SUPPORT Position

  • Permanent Opportunity in a part-time role - 32 hours over 5 days.
  • Great City - Southern Fringe location
  • Must have AT LEAST 1 year's experience in a similar role
  • Must have relevant education and training
  • Attention to detail and customer service are critical

This position is responsible for day to day reception and clerical support duties to ensure an effective interface between individual and corporate clients and the psychologists servicing them and for the provision of clerical support services. It requires the exercise of initiative, discretion and judgement within defined parameters and guidance. The role requires the exercise of confidentiality and an understanding of working in a sensitive, health and consulting environment.

HOURS: This is a 32 hour week with a 30 minute lunch break each day.

  • Monday from 11.00am to 6.30pm
  • Tuesday from 12 noon to 6.30pm
  • Wednesday from 12 noon to 6.30pm
  • Thursday from 11.00am to 6.30pm
  • Friday from 11.30am to 6.00pm

There will be some flexibility at the end of the day if there are no bookings or other duties.

Work as part of a team
The Receptionist and Clerical Support position must work under the day-to-day direction of the Practice Coordinator to achieve desired outcomes, in consultation with the Managing Director. The Receptionist and Clerical Support position is considered to be an integral part of the overall staff team and is accorded the same respect as are all other support and professional staff.

Responsibilities
Indicative duties are provided under each heading below, but the Receptionist and Clerical Support position will be given direction by the Practice Coordinator.

  • Client interaction
  • Workflow duties
  • Accounts and financial duties (N.B., there is a separate internal Bookkeeper)
  • General clerical duties
  • Collection, review and collation of Employee Assistance Program (EAP) client data the psychologists have input into Survey Monkey
  • Maintenance of  professional appearance of premises (N.B., there is a paid cleaner)
  • Other duties as required

Skills

  • Essential to have computer skills and experience: Word processing (Microsoft Word), and data entry
  • Competent keyboard skills, with keying speed at or around 60 WPM. Will be required to use a telephone headset to allow information to be keyed while taking details from clients
  • Highly desirable (but not essential) to have experience in the use of Front Desk, Survey Monkey and Microsoft Excel

  • Attend to details and work with a high degree of accuracy
  • Work at a consistent pace, demonstrate an efficient work style and show a common sense approach
  • Exercise initiative and discuss ideas for more efficient office practices and procedures
  • Cope when the practice becomes busy and with multi-tasking and frequent interruptions
  • Demonstrate an organised approach and be able to prioritise routine work and/or seek advice if uncertain as to the priority in which tasks should be completed
  • Exercise excellent communication and interpersonal skills
  • Work in a setting requiring the maintenance of confidentiality
  • Work in a setting requiring tolerance of some clients being in a distressed state
  • Be a team player and possess a sense of humour
  • Recognise own limits and know when to seek help or ask questions
  • Present in a manner (dress, grooming and speech) suitable for a professional psychology practice
