Executive Assistant to CEO

Full EA to the CEO & day to day liaison with the Executive Leadership Team, Assistance with the community benefits program, Rural location, outer south east suburb of Tynong.

The Pakenham Racing Club operates a high-class racing & training facility, an Event Centre at Tynong as well as two 7-day-a-week hospitality and entertainment venues - the Cardinia Club and Club Officer. 

A fantastic full-time opportunity exists for an experienced Executive Assistant/Community Benefits Officer at Pakenham Racing Club.  This role has been scoped to work across two areas of our Club. 

The Executive Assistant We're looking for a proactive, enthusiastic and dynamic Executive Assistant to the Chief Executive (CEO). As well as looking after the CEO, you will also provide some additional support to members of the Executive Leadership Team (ELT).  As the right hand of the CEO, youll play a key role in maintaining and driving our team culture through utilising your organisational, communication and interpersonal skills to provide a high level of administrative and organisational support.   

Community Benefits Officer - This will involve about 50% of your time working with the General Manager People & Community on the Clubs Community Benefits program to engage our local community and staff on the Clubs Community Active brand value. This will include areas such as community and staff engagement, social activities and other events.

Key accountabilities include:

  • Administration support to the CEO maintaining appointments, meetings and other deadlines that occur on a daily/weekly/monthly basis
  • Preparation of agendas, distribution of general correspondence, taking of and distribution of minutes for committee and sub-committee meetings.
  • Coordination of the Clubs Annual General Meeting, issuing invites, RSVPs, nominations forms etc.
  • Work in partnership with the GM People & Community to develop community activities that enhance the Clubs branding and relationships with community groups to support the Clubs Community Active brand value.
  • Administration of the Community Grants program, ensuring all applications are received and processed within relevant timeframes.

The right applicant will have significant experience in a similar role in working closely with the organisations senior management.  Importantly you will also have a passion for people and enhancing their experience when interacting with a community organisation like Pakenham Racing Club.

Some of the essential criteria include:

  • Previous experience as an Executive Assistant, Personal Assistant or similar senior role.
  • Confidence in liaising & articulating advice/ideas with a range of stakeholders.
  • Demonstrated ability to manage multiple projects independently
  • Advanced MS Word, MS Excel, MS PowerPoint, MS Outlook.
