Executive and Export Assistant

The Fremantle Chamber of Commerce is seeking a professional and detailed orientated person with a positive approach to join the team as an Executive and Export Assistant. 

The successful applicant will receive training in the export documentation processes but we do require proficiency in executive minute taking, diary management, document control, with a proven and demonstrated administrative ability.

This is a fixed term contract for 12 months and based on an average of 38 hours per week. Hours may increase from time to time depending on meeting schedules, after hours export and event times. 

Key responsibilities and accountabilities:

Executive Assistant

  • Responsible for managing the CEOs diary and daily meeting schedule
  • Perform the duties of minute taking and record management for the Fremantle Chamber Board and Association
  • Responsible for organising monthly Chamber Board meetings, producing agendas and minutes, catering and meeting set up 
  • Work with CEO & Chamber staff to ensure the CRM and Dropbox filing systems and associated record keeping and data is up to date
  • Responsible for lodgement of appropriate documents to DMIRS portals and compliance with the Associations Act
  • Responsible for filing, submission and archiving of Chamber material


  • Assist to maintaining Accreditation status for the Chamber, in order to be an Authorised Body to sign Certificates of Origin on behalf of the Australian Federal Government by following the guidelines and reporting procedures, and liaising closely with the CEO and Export Officer on export requirements
  • Secondary checking, signing and processing of export documentation (electronic and manual)
  • Database Management through the Chamber's online CRM system assisting in the creation and maintenance of register of Exporters and Agents
  • Executing updates required by Australian Chamber of Commerce and Industry to keep abreast of current export procedures and developments
  • Customer Service and Client management with Exporters and Agents

Knowledge, Skills and Experience

  • A polite and positive manner, with excellent personal presentation
  • A current police clearance (required)
  • An understanding of the role and functions of a professional member-based organisation;
  • Demonstrated knowledge in governance and document control systems
  • Strong written and verbal English skills;
  • Demonstrated administrative ability; showing accuracy, attention to detail, using discretion, and working proactively;
  • Proficiency in Excel & Word (essential) and other MS packages; Acrobat; and familiarity with website tools and with MAC OS
