Commercial Aquatics is now recruiting for an Administration Officer to join our team in our Derrimut office in a full time, permanent capacity. This is a diverse role, supporting both the Service and Construction Departments. The ideal candidate would have extensive administration experience, working in a similar role in the construction or service/ maintenance industry.

Reporting to the Service Manager and Construction Manager, our Administration Officer is responsible for:

  • Being the face of the business, welcoming visitors to the office and greeting callers on incoming phone calls;
  • Maintaining email correspondence and project related inboxes;
  • Invoicing and purchase order creation for Maintenance contracts;
  • Manage the dispatch board for the Service Department and close out work orders;
  • Stocktake orders, including chemical re-stocking;
  • Compiling maintenance reports for clients;
  • Scheduling Service Technicians into company system (MSI) and all required data entry;
  • Maintain quote registers and relevant data entry;
  • Assist the Construction team with the preparation of Operation & Maintenance Manuals for clients;
  • Project filing and archiving;
  • Ensuring all client details and relevant agreements are up to date; and
  • Maintain all office supplies and vehicle servicing as required.


To be considered for this role candidates must hold the following:

  • A minimum of 5 years experience in a similar role;
  • Excellent written and verbal communication skills;
  • Excellent computer skills beyond the MS Suite, working with a range of software;
  • Certificate III or IV in Administration is desirable, but not essential;
  • Good time management skills and the proven ability to work to deadlines;
  • Strong attention to detail; and
  • Appropriate drivers licence
