Commercial Aquatics is now recruiting for an Administration Officer to join our team in our Derrimut office in a full time, permanent capacity. This is a diverse role, supporting both the Service and Construction Departments. The ideal candidate would have extensive administration experience, working in a similar role in the construction or service/ maintenance industry.
Reporting to the Service Manager and Construction Manager, our Administration Officer is responsible for:
Being the face of the business, welcoming visitors to the office and greeting callers on incoming phone calls;
Maintaining email correspondence and project related inboxes;
Invoicing and purchase order creation for Maintenance contracts;
Manage the dispatch board for the Service Department and close out work orders;
Stocktake orders, including chemical re-stocking;
Compiling maintenance reports for clients;
Scheduling Service Technicians into company system (MSI) and all required data entry;
Maintain quote registers and relevant data entry;
Assist the Construction team with the preparation of Operation & Maintenance Manuals for clients;
Project filing and archiving;
Ensuring all client details and relevant agreements are up to date; and
Maintain all office supplies and vehicle servicing as required.
To be considered for this role candidates must hold the following:
A minimum of 5 years experience in a similar role;
Excellent written and verbal communication skills;
Excellent computer skills beyond the MS Suite, working with a range of software;
Certificate III or IV in Administration is desirable, but not essential;
Good time management skills and the proven ability to work to deadlines;
Strong attention to detail; and
Appropriate drivers licence
