About the role
In this role, you will work under general direction in applying established guidelines to provide high quality scheduling and administration support in an efficient and effective manner. Some of your key responsibilities will include (but are not limited to):
Booking appointments with clients for initial consultations, new and ongoing support programs including updating Outlook calendars, scheduling in the Client Records Management system, recording information in appropriate formats, preparation and dispatch of appropriate documentation to clients, and other relevant administration related to this task
Have practical knowledge of supports and services available in order to respond to client enquiries regarding Psychology Behaviour Support and Counselling (PBSC) services (including non-routine enquiries)
Schedule and manage the administration of team meetings, professional development sessions, literature reviews and other team initiatives as required
Respond to phone, email and face-to-face requests for scheduling or administration support by internal or external stakeholders as required and in line with defined scope and processes
Manage PBSC waitlists including planning and coordinating specific waitlists, updating information to maintain accurate waitlists and use relevant business systems to provide accurate reporting on waitlist statistics
What you'll need to succeed
Relevant Business Administration qualification (preferably Certificate IV level) with relevant experience; or
an equivalent level experience attained through previous appointments, services and/or study to undertake the range of activities required
Ability to develop, foster and model positive and collaborative working relationships with team, staff and external stakeholders
Well-developed interpersonal skills including the ability to work and communicate effectively with a diverse range of people
