Office Administrator

Bluebird Accounting, a boutique accounting firm in Moonee Ponds, is looking for an enthusiastic, client facing Administration Assistant on a part-time basis to join our team, reporting to the Director and CEO. 

Role and Responsibility

  • Draft basic letters, review and screen incoming emails
  • Conduct basic research to support client proposals and collate client information for the customer data base
  • To coordinate and organise meetings,work functions and  travel
  • To assist accountants in the preparation and organisation of client meetings
  • To manage front of house office administration and general reception duties of the practice including identifying and implementing process improvements
  • To take the lead role in office administration of the practice through the review and implementation office systems and processes
  • General office administration including file management, scanning and archiving
  • To collect and process practice mail, including ATO assessments and all other correspondence
  • To be responsible for data collection and managing the application of retrieving, transcribing, formatting, copying and inputting client information
  • To create and use spreadsheets that are user friendly to assist the team manage client outcomes, including preparation of presentations

 

Essential Skills and Qualifications 

 

  • A minimum standard of certificate III in Business Administration
  • Relevant demonstrated experience in office administration and customer services
  • Technical and ethical - The application of skill and ability to perform activities to a defined standard and ideally to have a working knowledge of the HandiSoft accounting software package
  • Proficiency with computers especially MS Office

You must be available to work from 10.00am to 3.00pm Monday to Friday. You must also be available to work peak periods in the financial year and as such no leave can be taken during July or August.
