About the Role
The Finance Officer is a full time role reporting to the Financial Controller. This position requires a team player that will assist the Assistant Accountant, Financial Controller and COO process accounts, answer financial related queries, prepare month end reports, journals and assist with adhoc duties.
There are a number of key responsibilities that the Finance Officer will be responsible for including, but not limited to:
Accounts payable duties as follows:
Ensure supplier invoices are distributed, accurately coded, authorised and entered into the accounting system on a weekly basis;
Undertake weekly payment runs and email remittance advices;
Reconcile supplier statements as received and investigate discrepancies;
Scan or file documentation for each payment run;
Monitor cash flows on a weekly basis;
Maintain and replenish petty cash floats;
Control and ensure proper cab charge cards;
Process and reconcile corporate credit card transactions;
Monitor credit card balances and top up as necessary.
Accounts receivable duties as follows:
Assist with raising invoices as per requests, including liaising with project managers to ensure invoices are raised as per schedule;
Assist the Financial Accountant with follow up actions for outstanding debtors;
Carry out regular banking deposits on behalf of PSA;
Monitor and respond to all finance related enquires within the CRM;
Ensure refunds are authorised prior to processing;
Apply and amend direct debit payments from other systems into the CRM.
Month end duties as follows:
Prepare month end supporting paperwork for review;
Assist with preparation of monthly financial reports for management and project managers including metrics and transaction reports;
Provide support to other Finance staff including assisting the Manager, Finance and Financial Accountant with month end reports;
Assist auditors with end of year audit queries.
Payroll tasks as follows:
Assist with processing payroll documentation including expense and TOIL claims;
Assist with setting up of new staff in payroll system; and
Assist with general administration tasks that support the Operations team and PSA overall as required.
