Village Administrator

Job Summary

Greengate has an exciting opportunity for an experienced Administrator to join our team. This position will report to our Village Manager and form part of the Village Services team at our Aged Care Home and Retirement Village in Woolloongabba.  

As Administrator, you are responsible for providing a high level of customer service and administrative support to our employees, residents, guests and visitors within both the residential aged care and the retirement living sectors of the village.


Role Responsibilities

The ideal candidate would be an enthusiastic professional with outstanding communication and interpersonal skills who is able to multi-task and prioritise tasks.

Responsibilities of the role will include: 

  • Providing administrative support to the Village Manager and Director of Care and Services including coordinating meetings, minute taking and preparing resident letters and communications
  • Manage the Accounts Payable Process, Resident Billing and Accounts Receivable Process
  • Manage the maintenance of resident data and movements on our electronic system
  • Roster management - support the Director of Care and Services and Care Manager with rostering and time sheet entry via our time and attendance system
  • Providing a high level of customer service and support, warmly greeting our residents, their families, guests and visitors as they attend our village
  • General office management, including maintaining stationery and kitchen supplies in line with budgets and liaising with building management on any issues;
  • Responding to queries and requests from employees, residents, their families, guests and visitors and connecting them with the Greengate employee who can best assist them
  • Maintaining your duty of confidentiality relating to residents, volunteers and employees
  • Manage all incoming communications and directing as appropriate
  • Engage with all team members in a positive and respectful manner, welcoming a culturally diverse team and actively promoting the Greengate values


Role Requirements

  • Completion of tertiary qualifications in administration or similar (Certificate II Business Administration) Skills and Experiences
  • Previous experience working within a similar customer service or administration role
  • Ability to manage own workload and competing priorities within deadlines in a calm and professional manner
  • Strong interpersonal and communication skills
  • Competent using computer systems, including Microsoft Outlook, Word, Excel and PowerPoint
  • Genuine interest in working closely with elderly residents
