About the role

Ideally you will have a minimum of 5 years PA experience and is someone who is passionate and motivated to succeed in this 12 month contract opportunity.

In this role you will utilise your minimum 5 years PA experience - ideally gained within a Professional Services environment to support 3 Partners within our Audit & Assurance team. You are someone who is passionate and motivated to succeed in this opportunity. You like to be ahead of the game and think before the Partner needs to ask. You are organised, diligent and show high level of initiative. A key part of this role will involve event management coupled with ensuring high attention to detail in daily tasks such as diary and email management.

Key responsibilities including but not limited to:

  • Full diary & email management for all three partners for staff and clients - arranging client meetings, accepting, declining and rescheduling of meetings, maintaining contact database, managing correspondence, catering and room bookings;
  • Answering phone calls and screening calls;
  • Strong event and conference planning and management for clients and teams from various offices;
  • Stakeholder management and the ability to communicate effectively – demonstrated ability to intercept potential clashes and prioritise Partners agenda’s and diaries each week;
  • Build and maintain positive relationships with all members of staff and contacts;
  • Corporate Compliance - Preparing ASIC forms and minutes and related documents including lodgement of forms, format audit reports and financial reports as required, assist with proposal documentations.
  • Support the team with International Relationship Checks (IRC);
  • Draft and edit correspondence, letters, reports, agendas, meeting notes and action points;
  • On boarding process for new clients - inputting data for international and domestic conflict checks and ensuring entities are set up in system;
  • Title and company searches using Ilion and ASIC website;
  • Debtors/Fees – prepare emails and send to clients to follow up outstanding debts; run WIP reports and supply listing summaries to Partners / Managers;
  • Database and system management – update Salesforce on a regular basis with true and accurate information;
  • Proactively organise and plan travel and accommodation both domestic and international;
  • Timesheet management of all three partners;
  • Expense management via our expense management system; and
  • General administrative tasks and ad hoc tasks as required.

Skills and experience

You will be responsive, organised and keen to make a contribution. This role will suit someone with the following skills, experience and attributes:

  • Minimum 5 years’ experience as a personal assistant
  • Excellent diary management skills and experience;
  • Proven experience of managing confidential materials and issues;
  • Strong communication skills and experience in an internal client-facing environment;
  • Ownership and Accountability with a can-do attitude
  • Strong MS Suite – Word, Powerpoint, Outlook, Excel
  • Experience with Salesforce highly desirable
  • Attention to detail and accuracy
  • Willingness to learn and think on your feet
  • Adaptable and intuitive experience working with various systems and software
  • Salesforce experience highly desirable or similar
