About the role
The Governance Secretary and Executive Assistant to the CEO holds responsibilities associated with the administration of a large not for profit, member-based organisation.
Key components of the role include professional level administration, coordination and secretariat support to the Academy Board, its key Sub-Committees and the CEO. The role is also responsible for directly supporting the CEO with diary management, relationship management, and administration, and works as necessary with other senior staff including the Company Secretary.
KEY RESULTS AREAS AND RESPONSIBILITIES
Coordinate and manage Board, Sub-Committee, and Annual General meetings. This includes logistics for meetings, preparation of papers, minutes, and other support as required.
Liaise with Board members and other stakeholders as it relates to the effective operation of the Board and Sub-Committees.
Maintain/monitor Board and Sub-Committee resolutions/required actions and other records associated with meetings and prepare reports as required.
Coordinate and manage annual Board Director Election process.
Review and update corporate governance policies, registers, insurances, procedures and associated documents in consultation with the Company Secretary, CEO, Board and Sub-Committees.
Manage the CEO's diary, commitments, correspondence and administration
Other duties as required
Skills and experience
Outstanding stakeholder management and communication skills
Demonstrated high level and proactive organisational and time management skills, including the ability to set priorities and complete tasks to deadline
Experience in coordinating governance matters within small-to-medium enterprises or not-for-profits
Excellent analytical skills with strong attention to detail
Minimum two years' experience as an EA
Demonstrated ability to work autonomously or in a team
Proficiency with relevant software including MS Office suite

Qualifications from the Governance Institute of Australia
Interest in or knowledge of the Australian technology and engineering sectors
iMIS Database and Contract Register system experience
