Administration Assistant

The role
Reporting to the Business Manager, the Administration Officer is responsible for providing day to day administrative support to all Providence staff and in particular, to the leadership team. This role is vital for the smooth running of the business and it provides support at the operational level, acting as the main point of contact for all internal and external enquiries.

Responsibilities

  • Organise bookings, venue hire and catering for internal and external events
  • Attend to administration queries from management, employees, clients and external parties
  • Coordinate business travel arrangements
  • Assist Finance team with accounts payable and accounts receivable, as required
  • Distribute and store correspondence
  • Maintain office supplies including stationary, ICT equipment, business cards, etc.
  • Coordinate building maintenance, repairs and servicing of equipment
  • Provide Reception duties as required by the office.
  • Manage filing systems.

You
You will be a motivated self-starter who enjoys engaging with others. You will have a can-do attitude, be approachable and friendly and genuinely want to help others. This is an excellent developmental role for the right candidate.

  • Ability to multitask and work autonomously
  • Strong communication skills both written and verbal
  • Advanced MS Office skills (Excel, Word and PowerPoint)
  • Ability to work in a fast-paced, dynamic environment
  • Self motivated with a high level of initiative
  • Excellent organisational, problem solving and attention to detail skills
  • Qualifications in business administration or similar will be highly regarded.
