Job Position 

Greenlands Equipment are currently seeking an experienced administrator to join our team to undertake office, sales and project administration tasks within the sales and project delivery team. This is a great opportunity to be part of an experienced team with a great culture that is building a rapidly expanding business.

The Role

Due to a major increase in awarded contracts in the above mentioned sectors, Greenlands Equipment is seeking a suitable candidate to fill the role of administration. The administrator is to be responsible for a wide variety of key activities that include the below. 

  • Sales: Assisting the sales team in sales related tasks. This will consist of lodging online expression of interests, monitoring online platforms for opportunities, liaising with sub-contractors to obtain pricing for tenders and following up of proposals.
  • Marketing: Organising of promotional supplies, updating social media platforms, writing of case studies and liaising with graphic artists for the development of marking material. 
  • Projects: Working alongside the project manager to assist with all aspects of the project. Some of the duties will include organising of medicals and inductions for site personal, booking freight to site, organising PPE, working with project managers to schedule jobs to ensure resources are available and maintaining project folders to ensure all project information and photos are recorded.
  • Purchasing: Working with the project managers to issue request for quotes to suppliers, comparing supplier quotes and issuing purchase orders. This will include ensuring all purchases fall within the project budget. 
  • Office: Working with all staff members to complete general office tasks such as organising uniforms, ordering stationary, filling etc.
  • Accounts: Working with the accounts person and project managers to issue project invoices and following up of debtors.  

As you can see the role is one where the successful candidate will have to wear several hats and have exceptional administration, management/people skills, time management and planning skills in order to be able to meet the responsibilities of the role.

The Candidate

Having an in depth knowledge and experience in the administration tasks listed and experience in working within a project delivery team are high on our list;

Although not essential criteria, candidates that possess the following attributes/experience are encouraged to apply;

  • Have experience in implementing process and systems to streamline project delivery.
  • MYOB Accounting software. 
  • Must be an enthusiastic, hard worker who enjoys working within a team environment
  • Good knowledge in general accounting tasks i.e. monthly invoicing & statements. 
  • Previous experience in project administration 
  • Proficient knowledge of the Microsoft Office Suite including Word, Excel, Power Point & Outlook as well as fast and accurate data entry
  • Experience with stock and asset management would be advantageous.
  • Ability to multitask and priorities workloads to strict deadlines
  • Ability to adapt to changing roles and circumstances
