Administration Assistant

The opportunity
We are currently looking for a full time Administration Assistant to assist our Client Account/Contract Managers in our busy landscaping office based in Braeside.

This highly motivated and well organised person will provide administrative support in administration functions of large accounts including planning, tracking, management of documentation, reporting and analysis.

The role will include invoice processing and general office administration duties, whilst working closely with the Client Account/Contract Managers to establish client needs and maintain all aspects of work related to client needs and potential workloads.
Some of your responsibilities will include:

  • Assist Contract Managers in all areas of their role
  • Raise all recurring work requests and service requests including Sub-Contractors
  • Prepare and finalise basic landscape quotes
  • Assist the Client Account/Contract Manager in finalisation of more in-depth landscape enhancement quotes
  • Assist in sourcing of various landscape materials/supplies and prices for quotes
  • Administration of all aspects of quotes
  • Manage Sub-contractor register including sourcing and setting up of new Sub-contractors
  • Ensure all relevant documentation is up to date on Sub-contractor register
  • Ensure all aspects of invoicing are correct and sent to Head Office daily
  • Creation of Service Reports
  • Distribution of client purchase orders
  • Distribute invoice enquiries and ensure timely follow up
  • Reporting as required
  • Update monthly financials and enhancement budget sheet

Your attributes and requirements

  • Must be available to start immediately
  • High level of attention to detail and accuracy is essential
  • Previous experience in an Administration Assistant role is essential
  • Ability to manage workload and set priorities with minimum supervision
  • Excellent verbal, written and presentation skills
  • Have a progressive, team-oriented approach to problem solving
  • A multi-tasker with the ability to work under pressure
  • Ability to use Microsoft applications including Word, Excel and Outlook
