Customer Service Officer / Contracts Administrator

An excellent opportunity has arisen for a motivated Customer Service Officer/Contracts Administrator with experience in the building industry to immediately join our client in their head office  located in Yatala on a permanent full-time basis (i.e. Monday to Friday 8.30am to 5.00pm).  They are ideally looking for a candidate who resides in the northern Gold Coast or south Brisbane areas.

Reporting to the Operations Manager, the successful candidates duties will be varied and will include, but are not limited to, the following tasks:

  • Manage the customer experience. 
    - to accurately inform our customers on the status of their job
    - receive incoming calls from existing customers. 
    - meet with customers at our Head Office.
    - maintain a thorough knowledge of our products, services and processes. 
    - explain the content and purpose of all documentation used in the pre-site process.
    - forward or present variations to the customer and explain each element to secure the customers acceptance.
    - maintain thorough knowledge of each job under your control.
  • Provide contracts administration support.
  • Monitor and action contract conditions required for ACC.
  • Site assistance and support to all stakeholders being the link between our customers and internal staff in regards to contractual matters as well as administrative support and assistance.
  • Maintain quality control of all contract documentation.
  • Monitor workflow of each job to ensure targeted timeframes are adhered to and liaise with our customers and internal staff to follow up all actions necessary.
  • Maintain a thorough working knowledge of our procedures for workflow, file management and client documentation.
  • Maintain a thorough working knowledge of our Onsite Companion Information System ensuring accuracy and reliability of the data.
  • Provide complaints administration support and adhere to our process to ensure complaints are adequately managed and resolved.
  • Contribute ideas that improve efficiency, effectiveness and productivity.
  • Ensure that the relationships with all internal departments, external customers, suppliers, agents and contractors are maintained and improved and ensure that Company policies and values are followed, particularly Workplace Health & Safety, Harassment, Discrimination, Equal Opportunity and Trade Practice compliance
  • Adhoc projects as required by Operations Manager.

To be successful for this role you will be / have:

  • Relevant experience in a customer focused role within a time critical working environment.
  • Superior / highly developed interpersonal and communication skills.
  • Ability to clearly identify client needs and generate solutions to suit both the customer and employees.
  • Intermediate Microsoft WORD and EXCEL computer skills.
  • Highly organised ability to multi-task and deal with a variety of activities.
  • Working knowledge of the building and construction process.
  • Preferred knowledge of property and new home builds.
  • Sales experience (Major Purchase).
