Provide high level, confidential and effective administration and executive support to the Director of Customers Service and the Customer Service Leadership Team. Can predict to manipulate the day, week or month on behalf of the Director.
Manage and filter all enquiries into the director's office, responding directly where appropriate, ensuring that the Business Area is represented in a professional and considerate manner at all times. Effectively manage the time commitments of the Director to ensure priority matters are catered for.
Respond and on daily issues in the absence of the director under broad supervision and ensure the Director is informed of the progress on necessary matters, exercising discretion in handling information.
Liaise with the internal and external stakeholders to ensure priority is given to issues affecting the Customer Service Department.
Arrange meetings and conferences, including coordinating papers, organising venues catering agendas, taking minutes and actions, and assigning and monitoring follow-up actions, making travel and accommodation arrangements on behalf of Customer Services.
Initiate and apply continuous Improvements processes to improve efficiency and effectiveness, with the ability to pick tasks up on behalf of the Director.
The ability to coordinate office administration activities with a defined scope.
Able exercise professional judgement to effectively manage ones own time and the time of others.
Able to identify problems analyse alternate solutions and make recommendations
The ability to use effective interpersonal and communication skills to develop and maintain effective networks with internal and external stakeholders and other executive assistants to progress work.
The ability to utilise relevant corporate systems to prepare reports and beliefs, drafts correspondence, handle incoming calls and manage travel arrangements.
Able to identify and initiate opportunities for improvements to systems, processes or tools.
