This role requires someone who is highly organised and brings solutions not problems. Attention to detail is absolutely paramount. This is a part time role - Monday, Wednesday & Friday. Looking for someone who can start immediately and be part of the Subiaco Hotel team!
The role includes but is not limited to the following:
Collect, review and enter invoices into Xero
Process weekly payment run following group guidelines
Follow up venue department heads with invoice errors and credits due, follow these issues thru to resolution
Ensure goods receivable and invoice procedures are followed by all within the venue. With errors in procedures raised with venue departments to ensure it is not repeated
Organise & file invoices for ease of reference by management
Maintain and follow up outstanding invoices owed to the company
Maintain accurate staff listing in Deputy, Xero and contact spreadsheet.
Prepare and distribute employment packs for new staff
Maintain and organised a secure filing system of employee information.
Review & process timesheets in Deputy payroll system ready for export to Xero
Review & prepare payroll run in Xero for management review and processing
Liaise with group management re any payroll issues
EOM superannuation & payroll tax run establish in Xero for review & authorisation
Collect, count, reconcile and bank cash takings daily
Balance float bags and house safe
Reconciliation using H&L (POS system) till balance and daily banking spreadsheet
Report discrepancies to management & assist to troubleshoot
Promptly respond to questions and requests from directors and head office team
Maintain server folder for ease of reference by management and head office team
Train and monitor an administrative assistant
Ad hoc administrative tasks
Must have extensive PC experience
Must have used Xero, Excel, Word, Email
H&L POS and deputy timesheet system experience preferable
A minimum of 3 years experience in an administration role
Demonstrated experience in a small business environment
Strong written and verbal communication skills
Demonstrated ability to prioritise and meet deadlines
Demonstrated ability to function in fast paced demanding situations
A knowledge of hospitality in a management or administration function is valued but not integral.
