Administrative Assistant

INNOVA INTERNATIONAL is an importer and wholesale distribution company providing commercial grade textiles into the Australian and New Zealand marketplace.

We require a reliable and adaptable person for a varied role based in our Heatherton, 3202 warehouse, south east of Melbourne.
 

This newly created role is designed to provide assistance and backup to key personnel as well as helping to provide lead generation to the sales team. 

 Duties

The role consists of three key elements:

JIWA (ERP) Support This is a support role using our ERP system for occasions where the key person is unavailable due to illness, holidays, or other absence. Duties include:

  • Support Internal Sales Co-ordinator including but not limited to creation of sales orders, invoicing, reports, back order management, filing.
  • Answer incoming sales calls/ enquiries.
  • Check stock enquiries in JIWA.
  • Provide technical support to customer enquiries
  • Direct customers to the correct person to manage their enquiry (if unable to resolve the problems)

Marketing Collateral Support This will be a significant focus of the role and it is expected the appointed person will take on this role in a full-time capacity, supported initially by the Director/ Marketing Manager however over time increasing responsibility to manage all aspects.

  • Collation of marketing material specific to the customer/ client request
  • Packing marketing collateral into Express Post envelopes or boxes or another container and readying for delivery/ posting.
  • Arrange posting, delivery.
  • Updating of Salesforce with the details of collateral requested and sent by Innova.
  • Manage customer/ client questions in relation to availability of various pieces of collateral or track and trace of lost or delayed articles.

Software Package Review (BCI/ Estimate One) This is an important part of the role as it can help to provide project lead information and generation to our salespeople.

  • Daily review of the software package BCI for provision of project information and leads to the A&D salespeople
  • Analyse projects for information including the architects and designers involved.
  • Analyse projects for information about products likely to be used.
  • Analyse projects for information relating to time frame for the project to proceed.
  • Update Salesforce (SFDC) with all captured information

 Key Attributes for this role:

  • Have excellent Customer Service skills
  • Have excellent IT knowledge, highly developed and extensive Microsoft Office
  • Experience in other software package highly regarded

6 month probationary period applies, however we expect this role would become a full time permanent position with the right candidate. 

This role is available for immediate start.
