Responsibilities
Answering the telephone
Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
Prepare regular reports on expenses and office budgets
Oversee facilities services, organize and supervise other office activities (recycling, renovations, event planning etc.)
Maintain and update company databases
Answer queries by employees and clients
Ensure operations adhere to policies and regulations and update office policies as needed.
Maintain a company calendar and schedule appointments
Distribute and store correspondence (e.g. letters, emails and packages)
Prepare reports and presentations with statistical data, as assigned
Schedule in-house and external events
Processing and prioritising workflow tasks
General administration tasks
Requirements
Speak fluent Mandarin and English
Proven minimum 2 years work experience as an Administrative Officer, Administrator or similar role
Ability to multitask with high attention to detail
Solid knowledge of office procedures
Excellent time management skills including timeliness of decisions
Professional phone manner
High computer literacy including MS Word, Excel and Outlook
Strong organization skills with a problem-solving attitude
A team player with leadership skills
Excellent communications skills both written and verbal
