About the Role:

This role is responsible for ensuring the Service team runs efficiently and meets the needs of our customers and our staff. 

  • Contact pre-booked Service customers the day prior to booking to confirm their booking.
  • Contact Service customers on a daily basis and advise of the progress of repairs and estimated finishing times.
  • Contact customers to book in programmed maintenance on machines
  • Provide quotations to customers in an accurate and timely manner and follow up with the customer once quotations have been sent.
  • Supply invoices to customers within the agreed service standard of 48 hours.
  • Respond to telephone and counter queries from customers promptly and efficiently.
  • Build relationships with customers to ensure ongoing business.
  • Keep track of workloads within the various service sections in order to report back to customers on the progress of the work being undertaken for them.
  • Coordinate acceptable resolutions to customer issues.
  • Increase and maximise all parts and service sales, including sales of associated items such as coolant and oil.
  • Monitor and keep informed of latest product developments and updates, using these to maximum advantage.
  • Raise purchase orders following company limits and link to repair order
  • Determine warranty validity at point of opening quote or repair order
  • Ensure all unused parts are returned into stock
  • Liaise with spare parts department to ensure that the correct inventory is added to the repair order
  • Ensure that the work area being utilised is kept neat and tidy, enabling employees to work efficiently and ensure that the customer is satisfied with environmental concerns
  • Be responsible and accountable for a safe working environment reporting any safety incidents or concerns to the Safety Manager
  • Ensure compliance with the relevant OH&S requirements
  • Contribute to the participative arrangements and communication strategies for managing OH&S risks in the workplace
  • Conformance to quality systems and procedures

ROLE REQUIREMENTS:

  • At least 5 years Technical experience in the Heavy Equipment or Diesel Engine Service Business.
  • Completion or in the process of completing a Certificate in Service Advising (desirable) or equivalent qualification/ industry training and/or experience
  • Trade qualifications (for heavy plant or vehicle) (desirable).
  • Minimum of 2 years experience in a Service Co-Ordinator or other related industry role.
  • Sound knowledge of JCB, Dynapac, Ditch Witch and other associated products sold.
  • Ability to read and interpret technical catalogues, bulletins, support literature and product fault resolution.
  • Competent computer skills including the demonstrated use of Pentana, Microsoft Office programs (Outlook/Word/Excel).
  • Demonstrated skills in managing customer relationships
  • Effective communication skills both internal and external
  • Effective time management skills.
  • Understanding of labour sales, labour costs, gross margin, expenses and other financial ratios.
  • Sound knowledge & understanding of Health, Safety & Environmental responsibilities
  • Ability to work un-supervised.
