Administration Officer (Customer Service)

A contract opportunity has become available for an experienced Administration Officer (Customer Service), for a large and well-known commercial organisation in Townsville. Reporting directly to the Depot Manager, this role will require the successful candidate to commence immediately for a 3-6 month role, and be part of a close knit, supportive, fun team of people in their main depot.

The key responsibilities of this role are:

  • Customer contact to take orders and schedule delivery dates and times. Contact may be required out of business hours
  • Build strong Customer relationships
  • Ensure all delivery requirements are met
  • Actively upsell company products to existing Customers
  • Actively review Customer order patterns, identifying and reporting significant changes to ordering frequencies and volumes and recommend appropriate action
  • Maintain Customer run sheets including Customer order records, notifications of cease deliveries and site hazards
  • Communicate to Customers, any changes to delivery requests or requirements
  • Develop and maintain a comprehensive knowledge of all Customer delivery locations
  • Actively pursue paperwork to ensure timely processing
  • Investigate and rectify errors and discrepancies
  • Develop strong business relationships with Customers and ensure all orders for fuel and lubricants via the trade counter are processed in a professional manner with a high level of accuracy.
  • Confirm scheduled loads with 3rd Party Carriers prior to delivery
  • Data entry of confirmed 3rd Party Carrier load schedules
  • Ensure daily banking is done
  • Process account payments and depot sales
  • Reconcile petty cash monthly
  • Ensure end of day transactions are complete
  • General administration duties and additional tasks and duties as directed by your Line Manager/ Supervisor

The requirements of this role are:

  • Minimum year 12
  • Minimum of 3 years' experience in an Administration and Customer service role
  • Experience in scheduling deliveries or logistics highly desirable
  • Proven ability to cope with unexpected changes and produce counteractive measures
  • Intermediate level of Microsoft suite and Excel
  • Excellent data entry skills
  • High level of accuracy and attention to detail
  • Ability to meet deadlines and manage multiple tasks
  • Well-developed verbal and written communication skills
  • Well-developed time management skills, ability to meet deadlines and prioritise tasks
  • Ability to build and maintain relationships with key stakeholders
  • Excellent telephone manner and excellent interpersonal skills
  • Proven ability to deal with pressure in a dynamic and fast paced work environment
  • Very good problem-solving skills: ability to anticipate issues and resolve them before they escalate
  • Knowledge of fuel and lubricants industry (desirable)
  • Strong knowledge of local, rural, and remote areas within the region (desirable)
  • Results orientated, honesty and integrity
  • A mature approach to communication and resolution of operational challenges and disputes
  • Excellent presentation, displaying resilience and positive demeanor
