Receptionist/Client Administrator

We are an Independent Financial Planning Practice offering Wealth Management and Finance solutions to individuals with one goal in mind - to help people achieve their financial goals. Due to continuous growth, we are seeking to appoint a new experienced Receptionist/Administrator on a full-time basis to our professional and dynamic team.

This is a pivotal role which reports to the Operations Manager and is positioned at the forefront for the Practice.  As Receptionist, your role will deal directly with clients on the phone and as they come into the office by creating a welcoming environment, having meeting rooms prepared and ready for appointments. In addition, your position will assist the Operations Manager with Administrative tasks required by the Financial Planners. 

In addition, your responsibilities will include:

  • Responding to inbound client phone and email queries comfortable picking up the phone and speaking directly with clients.
  • General reception area functions including collection of mail (post box), outgoing mail, sorting/scanning and filing of mail and emails, purchasing office/kitchen/stationery supplies,
  • Assisting with booking client appointments in outlook diary
  • Assist with the preparation of client documentation pre appointment
  • Working closely with the Operations Manager, Financial Planners and Administrative team
  • Having a can-do approach with a keen interest in Financial Planning.  

Skills and experience required for this role:

  • Demonstrated strong time management and work prioritisation skills
  • Excellent verbal and written communication skills
  • Ability to communicate well with clients of diverse backgrounds and age groups.
  • Strong problem-solving skills  
  • High attention to detail with solid work ethic
  • Experience working within a financial planning practice previously is highly desirable
  • Proficient at MS Office and competent in using Salesforce and/or Xplan
  • Willing to learn and improve processes if necessary
  • Ability to work autonomously and as part of a team
  • Able to work under pressure and meet timelines
  • Friendly, helpful with a positive attitude
  • Willing to undertake training sessions/webinars to increase knowledge in the industry/role requirements.
