Hours: 5-20 hours per week (hours subject to event load of the organisation)

Work Type: Contract, flexible, from home (some tasks will require attendance at events)

Reports to: President Drama NSW 

Tasks and duties:

General Administration

  • Receive correspondence from, respond to and communicate with the Drama NSW executive and committee, Drama Australia, subscribers, members, trade contacts and others
  • Check and respond to email correspondence on a daily basis, Monday to Friday 
  • Send out emails to members via Mail Chimp as directed by exec team members
  • Maintain the records, correspondence and other papers of the Association in Dropbox
  • Monitor and run the membership process for members of Drama NSW using the Join It membership portal
  • Organise and minute Drama NSW committee meetings
  • Attends and does the administration tasks required for the Annual General Meeting and the Annual Conference 
  • Report to the AGM and committee about the administration of the association
  • Along with the executive team, sets the date and prepares agenda, papers and all necessary other materials for the AGM and monthly executive and committee meetings
  • Coordinate, with the executive team, the development of the annual calendar and events (Annual Operations Plan)
  • Report to the executive team on the administrative affairs of Drama NSW 
  • Assist VP Communications with the collation of the associations digital publications and social media correspondence
  • Other administrative tasks as they arrive

Financial administration 

  • Co-authorise payment of all invoices as necessary
  • Issue invoices
  • Assist VP Business and Finance in maintaining financial records 

Event administration 

  • Provide on-site support at the Drama NSW Annual Conference 
  • Manage Trybooking set up for Professional learning events 
  • Liaise with graphic designer and VP Professional Learning regarding branding and advertising (e.g. flyers) for professional learning events
  • Oversee accreditation processing for PL events
  • Co-ordinate follow up for PL events in collaboration with conveners (e.g. surveys, certificates)
  • Organises catering, printing and venue hire for events when needed.
  • Project manages events when needed. 

Desirable skills and experience

  • An understanding of teachers, schools and education systems
  • An understanding of the Drama and theatre world
  • Experience with booking platforms such as Trybooking
  • Basic understanding of website maintenance
  • Flexibility and adaptability 
  • Excellent communication skills
  • The ability to work as a part of a team
  • Able to manage various tasks and prioritise accordingly
  • Able to effectively work to deadlines.
