About the role

The purpose of the Receptionist is to provide reception and administrative support to all members at NIOA. As a receptionist you will welcome visitors by greeting them, in person or on the telephone, answering or referring inquiries.  Directs visitors by maintaining employee and department directories, giving instructions. Maintains security by following access procedures; monitoring logbook; issuing visitor badges. Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel.

Key Responsibilities

  • Answer incoming telephone calls determine purpose of calls, and forwards to appropriate personnel or department.
  • Answer gate access requests and screens callers for entry.
  • Take and deliver messages when appropriate personnel are unavailable.
  • Answer questions about organisation and provides bona fide callers with address, directions, and other information.
  • Welcome on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitor visitor access and maintains visitors register.
  • Receive, sort, and route mail.
  • Maintain office machines, including consumable supplies.
  • Assist in ordering, receiving, and maintaining general office stationery and other supplies.
  • Perform other clerical duties as needed, such as filing, photocopying, and collating.
  • Provide support with planning and coordination of internal/external events and catering.
  • Prepare coffee, tea, and performs various related duties as required.
  • Runs daily errands, including banking and post office as required.
  • Comply with the quality policy and relevant procedures in the Quality Management System.

Experience and Qualifications

  • Experience as a Receptionist, Front Office Representative or similar role, or the ability to gain required skills.
  • Proficiency in Microsoft Office Suite.
  • Experience using and supporting office equipment.
  • Professional attitude and appearance. 
  • Solid written and verbal communication skills  Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organisation.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organisational skills.
  • Multitasking and time-management skills, with the ability to prioritise tasks.
  • Positive customer service attitude.
  • High school diploma or Senior secondary certificate (SSCE); or one to three months related experience and/or training; or equivalent combination of education and experience.

General Requirements 

  • Firearms Licence (Or ability to obtain, NIOA will process).
  • Police Check (If successful)
  • Drivers Licence.
  • Minimum Baseline Security Clearance, or the ability to maintain one (Require Australian citizenship) NIOA will process the clearance if successful.
