Receptionist, administrative assistant, digital content manager

We are seeking an experienced receptionist, with a high level of digital literacy. This compatible person will be our receptionist, administrative assistant, digital media content manager, event manager and personal assistant.

Holistic Vets Newcastle are a customer focused animal business, providing Veterinary goods and services to animal lovers in the Newcastle area, and around Australia. Our point of difference is the focus on natural health care. We provide in home, in clinic and telephone consultations. Our focus is on education and supporting our clients, and their animals, in sickness and in health, throughout their animal's lifespan. We are committed to environmental sustainability, and reducing our footprint.

Holistic Vets Newcastle operate across multiple locations in Newcastle, including a mobile and home euthanasia service. We are seeking assistance with all aspects of this microbusiness which is experiencing significant growth.  This position offers a variety of largely self directed tasks within a small team environment. There can be periods of high demand and stress, however the focus is on efficiency and on sustainable work life balance.

The position

This is a casual  position10-15 hours a week initially, progressing to permanent part time for the right person, up to 20 hours a week. Hours will be a three to five hour block, three to four times a week: flexible as to day and time: to be negotiated, between 9 and and 6pm Monday to Friday. Possibility to vary from week to week around other commitments.

This position involves primarily unsupervised, independent work in a solo office environment assisting us with the many aspects of veterinary small business management. Tasks will vary from day to day but  will include

  • Answering the phone, responding to texts and emails.
  • Scheduling appointments: this involves managing three diaries across multiple locations.
  • Confirming appointments, tracking reminders, updating database.
  • Assistance with book keeping (payment reconciliation, insurance claims).
  • Inventory control and management, stock ordering with multiple suppliers, pricing, stock take.
  • Preparing  and posting orders received via email, phone, web shop.
  • Maintaining and cleaning veterinary equipment, work vehicle and office.
  • Assist with various business development concepts, research and implementation.
  • Website updating and maintenance.
  • Social media posts.
  • Develop electronic content for social media including videos.
  • PA tasks like running errands, assistance with laundry etc.
  • Event organization.


Essential skills: 

  • Experience in a customer service environment, with friendly disposition.
  • Customer focused, with excellent communication skills.
  • An ability to work independently, most of the time unsupervised.
  • Personal pride in providing a high quality experience for our customers.
  • Excellent organisational skills, with attention to detail.
  • Honest and reliable.
  • Enjoyment of working alone or in a very small team.
  • High level of computer literacy (PC), including with Microsoft Office: Excel, Word, Access.
  • High level of digital literacy.
  • Ability to follow instructions and ask for further information if required.
  • Intelligent, persistent, resourceful, self motivated.
  • A love and appreciation of companion animals and their importance.
  • An interest or experience around natural health care.
  • Drivers license and car.
  • Experience with social media and online marketing, esp Facebook and Instagram.
  • Ability to maintain website and on line shop (Shopify).

Desirable skills

  • Medical or veterinary reception skills a distinct advantage.
  • Veterinary nursing experience is an advantage.
  • Experience using veterinary or medical software an advantage.
  • Skills in data base and inventory management.
  • Ability to develop video content.
  • Experience with small or microbusiness business management.
  • Ability to refurbish an old website on existing Shopify platform.
