Advertising Council Australia (formerly The Communications Council) is looking for an Event / Project Coordinator to help with the coordination of the 2020 AWARD Awards Call for Entries, judging and ceremony as well as the 2021 AWARD Creative Festival.
AWARD - The Australasian Writers and Art Directors Association - now in its 42nd year is the single most important regional creative awards show for the advertising industry.
We are looking for someone who has experience working in events as well as experience with project coordination. The position requires someone who is tech-savvy, has excellent attention to detail and is very calm under pressure.
AWARD receives roughly 2,000 entries, so the right person needs to be very detail orientated, willing to undertake manual processing and take pride in making sure everything is done perfectly to ensure the smooth running of the program.
The position will also coordinate key components for the 2021 AWARD Creative Festival which will feature a series of talks, forums and functions.
Your role will be to work with the Event Manager and Event & Sponsorship Director on the following:
Processing of entries - which includes managing and checking of all materials submitted to make sure they are correct.
Quality checking of all submitted material - which includes watching all video content (TVCs/ Online Films/ Case Studies etc.).
Proofing and double-checking of all event-related materials including judging information/ trophy lists/ show material/ credits/ programs etc.
Coordination of judging panels. A key role will be recording results and running judging presentations of entry content. Public speaking is required in order to brief the juries and the chairs.
General admin assistance including the collation of judging materials/ catering coordination/ couriers etc.
AWARD Creative Festival:
Coordination of venues and ticketing.
Liaising with speakers and developing run sheets/schedules and itineraries.
Assisting with marketing and comms.
Coordination of contract/temp staff if required.
Required skills and experience:
Minimum of 5 years experience working in an event/project management role.
Knowledge of both PC and MAC operating systems as well as familiarity using iPads.
High-level experience using Microsoft Office - Excel, Word etc.
Knowledge and familiarity using online databases and platforms.
Proficiency in the use of audiovisual equipment in an event environment.
Ability to remain calm under pressure and maintain a positive can-do attitude.
Ability to take initiative and problem solve.
High-level communication skills (both written and verbal)
High-level attention to detail.
Ability to juggle multiple tasks and work to deadlines.
Willingness to work outside of normal business hours (the role may include some weekend work as well as over-time during the judging and festival period).
Experience working with and providing direction to temp/casual staff.
Adept in public speaking with presentation skills.
Desired experience (but not essential):
Knowledge and experience in using Google platforms (Google Drive / Google Sheets / Google Docs etc.).
This position is a fixed-term full-time contract for a period of approx. 7 months.
The contract commences Monday 18th January 2021 and will go through until mid-August 2021.
