Remuneration will be $65,000 to $85,000 depending on experience.

Olkola Aboriginal Corporation are an indigenous group based in Cairns.  We manage the Olkola country in central Cape York Peninsula for the needs of the Olkola people.

About the role

This position is required to provide project management and administrative support to the CEO.  The role is based in Cairns and is permanent part time (3 4 days per week) with potential for full time.

Main responsibilities of the role

  • Conserve the CEOs time by reading, researching, and routing correspondence; drafting letters, memos and documents; collecting and analysing information.
  • Manage contracts with external groups including funding bodies where contracts are established that require regular written and financial reports to fulfil obligations.
  • Help deliver contracts by obtaining quotes for various services and helping to organise delivery logistics.
  • Assist with project development by identifying opportunities for funding assisting to prepare funding proposals including budget details and delivery timeframes.
  • Plan, maintain and proactively review the CEOs internal and external appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Maintain client and other stakeholders confidence by treating information with confidentiality, integrity, and maturity.
  • Screen and direct phone calls, emails and distribute correspondence.
  • Arrange all travel requirements.
  • Take minutes and prepare reports.
  • Assist with preparing Board reports.
  • Liaise with stakeholders, ensuring professionalism at all times.
  • Prepare and format other presentations and reports as required.
  • Review and process incoming tax invoices on behalf of CEO; prepare weekly, monthly or quarterly office management reports.
  • Maintain professional and technical knowledge by attending educational workshops.
  • Monitor, implement and evaluate administrative practices, systems and procedures to optimise efficiency and support the delivery of quality outcomes.
  • Extensive experience in business administration and process.

  • Strong understanding of indigenous perspectives on land management and indigenous culture.
  • Executive assistant experience.
  • Excellent organisational and time management skills including the ability to prioritise competing demands effectively with a strong eye for detail.
  • Excellent communication, written and interpersonal skills, well-developed teamwork skills and the ability to communicate effectively at all levels.
  • Excellent computer literacy in MS Office Suite including advanced skills in Powerpoint, Excel and Word.
  • Experience supporting Executive Team members.
  • Excellent attention to detail.
  • Thrive in a team environment, ability to encourage and facilitate team communication.
  • To be flexible and be able to adapt quickly to last minute changes, taking them in stride while maintaining a pleasant manner and motivating spirit.
  • Mature approach with ability to work unsupervised.
  • Strength in time management and organisational skills with the ability to multi-task in a fast-paced work environment.
  • Ability to work well under pressure and to deadlines.
  • Good attention to personal presentation.
