Administration Manager

Utility Location Services Pty Ltd (ULS) is a Family orientated business  in the Civil Infrastructure industry specialising in Underground Service Locating using Vacuum Excavation and Electronic Service Locations with a strong reputation for quality and service.

We are currently seeking an Administration Manager for a Permanent full time position.

Job tasks and responsibilities

Reporting to the Director and General Manager some of your key responsibilities will be:

  • Overseeing the management and co-ordination of all administrative functions
  • To Lead and Manage the team to ensure it effectively supports the day to day running of the office.
  • Handling of Phone  Calls and client queries on a professional, accurate and consistent manner
  • Preparation of Tender Documents
  • ISO Compliance Management
  • Accounts Payable / Accounts Receivable / Invoicing / Monthly Claims
  • Manage the accounting system including monitoring and improving those systems.
  • Data Entry
  • Monthly Reporting as required
  • Be responsible for preparation of payroll and superannuation, processing of annual leave and keeping staff records up to date.
  • Document Retention and Management
  • Liaise with other sections of the company in the resolution of issues and improvement in systems

Skills and Experience

  • Proven experience on leading and managing people
  • Excellent communication skills, including a professional phone manner
  • Highly organised and system focused
  • Exceptional attention to detail and accuracy
  • High level of computer skills including Microsoft Office Suite, Cloud Based Systems (ULS is a Paperless Company)
  • Xero Accounts experience preferable
  • Bookkeeping knowledge / Experience
  • Experienced in ISO Compliance
  • Ability to formulate and write procedures and policies in consultation with the Management Team
  • Ability to work in a fast-paced team environment with the ability to multi task and capacity to work independently.
  • Civil Contracting experience will be favoured
  • Able to build effective relationships and creating a positive team environment
