Operations Coordinator

Weve supplied and installed surfaces for thousands of satisfied horse owners, competition venues and racecourses across the world.

We are currently seeking an experienced Operations Coordinator

The role is based in our Victorian Office located in Carrum Downs.

We design, supply, install and maintain surfaces for the Equestrian Industry. These surfaces are used for racing, performance and leisure horses.

From design and development to supply and installation, the horses performance and welfare are at the heart of everything we do, regardless of the ability of the horse or the discipline involved.

The primary purpose of this position is to coordinate and monitor and review future and ongoing projects for the company.

You must have the ability to work independently to carry out specific duties, and to organise, coordinate and motivate staff in the team, to ensure maximum result while meeting the required deadlines. A healthy teamwork attitude and the ability to work in well with others are paramount in this role. You will be required to communicate and fit in with other staff. You must have good administration skills and attention to detail.

The role requires strong time management and organisational skills, as well as good analytical skills to develop innovative solutions to problems that may arise.

The role includes:

  • Reporting directly to the GM Civil
  • Working with the General Manager Civil and team
  • Job Administration
  • Scheduling and Programing
  • Allocation of machinery and staff for future jobs and managing the calendar of jobs for mixing staff and civil staff through Assignar
  • Coordinating deliveries of product and material for jobs
  • Dispatching goods, machinery and equipment
  • Assist with stock control and working with the Mechanic and Yard Person
  • On the ground support
  • Sourcing pricing for quotes
  • Orders and quotes
  • Review subcontractors and supplier quotes and seeking approvals
  • Review and execution of progress claims and suppliers invoices
  • Managing document control
  • Assist with project management
  • Assist with coordination with site set up
  • Assist with ISO9001 Compliance
  • WHS Manuals
  • Risk Assessments
  • Assist in improving systems
  • Assist with pricing and quoting of jobs and sourcing of information
  • Working with Brisbane Office
  • Go to contact for operational matters outside of on-site jobs specifications
  • Coordinating load share for truck drivers
  • Coordinating Mechanic and assist with fleet and equipment scheduling and Maintenance
  • Ensuring staff are following processes and procedures
  • Racing and Equestrian surfaces knowledge, not a necessity
  • Ability to work unsupervised
  • Ability to travel within Australia
