We seek a warm and personable candidate, with a can-do attitude and an appreciation for creating a joyful working environment to provide executive support, working from home or in a Hobart city location. An agile thinker to align with the varied interests of the Directors, preferably an expert mind reader with a good sense of humour and an understanding of confidentiality.
Act as the point of contact for the Directors, executives, employees, clients and other external partners, managing information flow in a timely and accurate manner.
Manage the Directors calendars and set up meetings. Develop systems to support the Directors regular meetings.
Make travel and accommodation arrangements.
Assist to collate expenses and provide financial administrative support to the Directors as requested.
Act as an office manager coordinating supplies and equipment, including annual equipment and associated accounts review.
Prepare executive reports and communication with our clients, the three-tiers of government, community and stakeholder engagement and the public.
Prepare meeting agendas and minutes meetings.
Seek to continually enhance the Directors working experience by identifying opportunities to improve efficiency.
Deploy administrative best practice to continue the ongoing digitization of the Directors business activities, including the office filing system and historical paper records.
