What is the role
To act as an initial contact point for the People Team and triage all incoming requests. Work closely with the CPO, Advisory Team and Talent Acquisition to support a range of activities including recruitment support, people administration (contracts, letters), HR system maintenance, Procurement of Office supplies, mail management and supporting event coordination. The role will also contribute to the strategic initiatives of the People Team.
What will I be doing
Scheduling (and sometimes rescheduling) interviews for the Talent Acquisition team
Managing the Talent Acquisition team inbox
Completing a range of support activities within Greenhouse (our ATS)
Operationalise the Onboarding & Offboarding
Manage the end to end on-boarding experience and process of all new employees and contractors
Manage the end to end off-boarding process of all departing employees and contractors
Together with the L&D Consultant, create an awesome experience for everyone joining and leaving the company
Provide support for ad hoc requests as required
People Systems and Employee Lifecycle Owner
Be the expert in all the people systems including BambooHR, Greenhouse, , Zendesk, Linkedin Learning and Culture Amp. Understand the functionality and how we can optimise each system and the integrations.
Assist in transitioning to new people systems should we implement them
Strong understanding of the employee lifecycle and the administrative needs for each step such as promotions, annual reviews and other people-related processes.
Office & Event Coordination
Assist the People Experience Manager in coordination of employee needs and event facilitation
Processes and guidelines
Assist with mapping out workflows and improve our people processes through automation and creating efficiencies
Update company knowledge sources with changes to guidelines and documentation when required
Other administrative duties;
Provide support with preparing employee and contractor letters, such as employment verifications
Provide support across various People projects and initiatives
Contribute to the development and review of our Guidelines, processes and procedures.
Support the team with admin requirements
What do they need from you
Highly organised with strong administrative and problem-solving skills
Constantly looking for ways to improve and evolve processes
Previous experience in setting up or improving general HR or office processes
Strong knowledge and understanding of HR-related systems
Tech savvy and comfortable learning new systems and working in a very reactive environment
Able to manage competing priorities and comfortable completing repetitive tasks
Professionally empathetic and creative approach
Previous experience as an HR Coordinator and Recruitment Administrator or Coordinator within a fast-paced environment is desirable
