About the Role

We are currently seeking a dedicated and enthusiastic Administrator to support our team. You will be pro-active and resilient with the capacity to be flexible in your approach.

Duties and Responsibilities will include but limited to

Reception

  • Coordinating administrative/reception activities to ensure day to day operational needs are met
  • Meeting and greeting visitors in a welcoming and professional manner and advising relevant staff of the arrival of visitors to the company
  • Promptly attending to incoming calls and direct them to the appropriate staff or take messages
  • Processing of mail (internal, external, fax and email)
  • Maintaining a cohesive, clean, and welcoming office environment

Administrative Support

  • Stationery and other office equipment orders
  • Archiving documents where directed
  • Coordinating meetings
  • Being the first point of contact for office employees with general administrative enquiries
  • Being the first point contact to external stakeholders
  • Assisting with administrative orientation and onboarding preparation for new staff
  • Information dissemination to all relevant staff
  • Arranging for couriers as required
  • General events coordination such as team building and Christmas Party

Financial Management

  • Managing reimbursements
  • Managing contracts
  • Assisting with department budget reports
  • Assisting with inventory, stock and any other company owned assets reporting for both office and display site

Policy Management

  • Assisting with delivering management policy

Other ad-hoc duties as required

Required Skills & Qualifications

  • At least 1 year administration experience (Desirable)
  • Tertiary qualification within Business, Commerce or similar
  • Superior communication skills (verbal and written) in both English and Mandarin
  • Excellent time management skills with the ability to prioritise workload
  • Advanced use of MS Office applications, in particular Word, Excel, Access, Outlook
  • Proficiency in the use of general office equipment
  • Proven ability to work efficiently and thoroughly in a busy environment
  • Proven experience of problem solving and issue management
