Purpose of the role:
To provide competent and timely support to the Insurance division as instructed, undertake a broad range of activities whilst following the required procedures.
To take all the necessary action by whatever means necessary to make sure that client needs are met at all times.
Work directly with and supporting the director and head of the insurance department with a cross over to the wealth management team in particular superannuation servicing both new and exisiting clients.
Managing the client service delivery and ensure that everything runs smoothly and to agreed timeframes whilst having the ability to work autonomously.
Manage and Maintain a Database within the CRM system and XPlan.
Preparing quotations, managing client files and gathering information and work up to end to end processing of new business applications
Co-ordinate appointments and arrange distribution of relevant materials relating to the ongoing review process.
Maintain client files electronically and ensure all filing is completed in a timely manner.
Process commission on a monthly basis to ensure the payments are being received correctly. Report to the director.
General administrative duties including mail distribution, scanning and filing related functions, general clerical and ad hoc tasks.
As instructed, prepare letters, a broad range of correspondence, reports and any other documentation using Microsoft Word, Excel and XPlan and CRM system.
Collate processed documentation as required ensuring all attachments and relevant information are included.
Using Excel prepare spreadsheets and statistical information.
Acting as a point of contact for phone calls and emails. Follow up and respond to inquiries on a variety of related matters either verbally or via electronic email.
Follow-up calls and emails to clients and other external parties and ensuring that all documentation is correct and up-to-date at all times.
Liaise with external practice groups such as insurance company business development managers, underwriters and administration staff, internal staff and other internal departments as necessary in order to provide information or complete activities.
Co-operate with others in the team and provide additional assistance and support to ensure that productivity levels are sustained

A background in life insurance or risk administration is essential - this role would suit an administrator wanting to work up to an adviser wanting to specialise in risk only.
