ABOUT THE ROLE
This role is based in our Ashfield Head Office, however with COVID-19 we are currently working from home. The Executive Assistant will provide high quality executive and administrative services to support the General Manager, People and Culture. The EA will be responsible for compiling of all reporting requirements from monthly divisional reports, Board reports, Weekly CEO meeting templates, Monthly Executive Meeting reports. The EA will also support with external visitations and communications across divisions
THE IDEAL CANDIDATE
You will be qualified in Business Administration or a related discipline with several years experience as a PA OR EA. If you love multi-tasking then this is the role you have been waiting for! Not only will you be providing support and assistance to the GM, you possess a positive attitude, energy and drive. Attention to detail is key in this role combined with familiarity of the People and Culture function (highly desirable). The ideal candidate will also have high level computer skills in a range of software including Microsoft Word, Excel and an ability to build succinct PowerPoint presentations. You have well developed and effective communication skills and like to immerse yourself in the working of the teams and add value to the organisation.
A highly resourceful team-player, comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive and efficient diary management for the General Manager, prepare and manage all correspondence, meetings, take minutes at key meetings
Collate information to input into the Board Reports, Divisional Report, Monthly Executive team meetings and other ad hoc reports as requested
Coordinate internal and external meetings, including steering groups, committees and off-site events and assist Communications team at AGM and other events as required.
Strong working knowledge of Microsoft 365 suite and confidence in using various systems
Ability to prioritise, be pragmatic, self-aware and seek continuous improvement
Strong communication skills both verbal and written
Independent initiative and strong anticipatory and influencing skills
Excellent time management and organisational skills
Process expenses and accounts payable requests for the division, in addition to having a grasp of Excel and spreadsheets for budget and monthly expenditure reviews.
