Project Coordinator Administration

This Project Coordinator role is an office based administration role responsible for the coordination of repairs and maintenance to residential homes that have been damaged.

In this role you will be responsible for:-

  • Determining and appointing the appropriate internal trades and subcontractors to carry out building repairs

  • Coordinate and monitor the progress of repairs to achieve required service standards for claims under $12,000

  • Liaise with trade personnel regarding repairs as per supplied scope of works

  • Liaise with property owners to ensure they are kept informed of repair progress and appropriately managing any changes to repair schedules

  • Ability to provide excellent customer service and successfully manage customer expectations

  • Respond to and manage customer complaints with a positive approach and a commitment to creating solutions

  • Record all progress of repairs and completing all daily administrative requirements efficiently

  • Work within all Insurance companies guidelines meeting Key Performance Indicators (KPI's) including compiling formal updates, regular communication with all property owners and all trades involved.

  • Be proficient in all administrative tasks, including using diary actions within our database.

  • Assist in the administration of the Outlook Calendar for the work allocated to internal trades.

  • Provide support to Senior Project Managers

  • Quality control of files after repairs are complete

  • Attend regular project management meetings and other meetings set by Management.

  • Address all issues as they arise, consulting relevant trades on cause and possible solutions.

  • Assist the office staff with answering of phones

  • Assist all staff where required

Essential skills, attitude and experience

  • Experience, preferred but not essential
  • Have a good understanding of the building industry terminology

  • Excellent attention to detail

  • Team work - Ability to work without supervision, as well as in a team oriented collaborative environment.

  • Sound written and verbal communication skills
