About the Role

In this role, you will be responsible for providing support to the Company Secretary to ensure the efficient and proper management of the Corporate Secretariat functions of the organisation.


Chair and Board Support

  • Assisting and producing correspondence, presentations and reports both of a general and confidential nature on behalf of Board Chair and Board.
  • Manage all aspects of board communication
  • Coordinate with the CEO’s Executive Assistant and Company Secretary around Board meeting preparation
  • Create a board/committee meeting schedule for the coming year and send out meeting requests
  • Manage all logistical requirements which include travel, organizing venues, catering and booking appointments for all board meetings

Company Secretarial Support

  • Support the Company Secretary with all processes for delivery of Board and Committee and Councillor Meeting papers to all relevant stakeholders
  • Manage folders in Cosec drive for each meeting for each agenda item on all board and committee meeting agendas
  • Create draft agendas, meeting run sheets, updating matters arising and some minutes of meeting under the direction of the Company Secretary.
  • Manage the review of Corporate Governance Statement annually

The role also has other ad hoc responsibilities that you will have to perform on an ongoing basis

About you

  • Experience working with boards or company secretariats (as a board assistant, board administrator )
  • Ability to maintain high levels of confidentiality and deal with senior figures.
  • Experience working collaboratively with EA’s and other administrative staff
  • Proactive, flexible and able to work out of hours when needed and in a fast-paced environment.
  • Experience with on-line Board paper delivery application and with data room systems
  • Experience in working with MS Office, Diligent Boardbooks and AV equipment
